First unveiled in 1999, today it continues to set the industry standard in record storage management solutions. How we track your documents: The RS-SQL system produces a unique, non-transferable bar code for each of your boxes, which remains constant throughout its entire life cycle. Our audit trail begins when the box barcode is scanned into our system for the first time. This bar-code carries all relevant information and guarantees total tracking and retrieval accuracy. When your box of documents are delivered to you, or collected from you, each GRM driver employs the use of a Portable Printer and a Portable Data Transmitter (PDT). This enables them to print off a receipt of all the boxes collected in each visit to your premises and provide you with a signed copy of that receipt. The boxes are then brought to our storage facility where they are scanned into a temporary holding area. The boxes in the temporary holding area are then verified to ensure that they match with the boxes that have been collected. Once verified, the boxes are scanned to a unique location in our storage facility where they remain until retrieved or destroyed. The audit trail typically documents the activities of creation, migration, transfers or the movement of records, modification, deletion, defining access, and usage history. This trail is completely unalterable, thereby providing you with an accurate, up-to-date account of the life cycle of your documents. |
