Our media storage vaults are two-hour fire-rated, climate-controlled, equipped with a fire suppression system and monitored by CCTV surveillance.
The industry-leading records management software we have deployed allows us to schedule the rotation of backup tapes. The schedule can be tailored to each of our client’s needs so that even the most complicated backup tape rotations can be accommodated. In the case of an emergency, we guarantee the swiftest return of backup tapes to our clients, 24 hours a day, 365 days a year.
Fire Retardant Structure
Each vault is constructed with a two-hour fire-retardant wall structure and vault door. This structure also assists in maintaining a constant temperature and humidity within the vault.
INERGEN Fire Suppression System
In the event of a fire, this system discharges an inert gas into the vault and rapidly extinguishes it by minimising the oxygen concentration until it reaches a level where combustion is no longer supported.
Pre-Combustion Fire Detection System
Our records centre, including the area around our vaults, is equipped with a VESDA pre-combustion fire detection system that detects fire in the incipient stages.
How It Works, Step By Step
Cataloguing
GRM will create an account on our records management software, assign unique tape barcodes to it and deliver them to you. By placing a tape barcode on each tape, the tapes can be tracked using our records management system. The tape barcode number can be cross-referenced to the tape reference on your database, which helps facilitate future retrievals. GRM can provide a cataloguing service if required.
Schedule
Based on your requirements a tape rotation schedule will be created on our records management system. This schedule ensures pickup and delivery work orders are created automatically and processed by our operations team.
Collection
The driver arrives and scans each tape barcode using a mobile barcode reader. This is where the audit trail starts. The tapes are placed into a transport container and loaded onto a GPS-tracked GRM vehicle before being securely transported to our storage facility.
Storage
During unloading the tape barcodes are scanned using the mobile barcode reader to the barcoded loading bay location. The tapes are then moved to uniquely barcoded storage locations within our climate-controlled vaults and our records management database is updated to reflect these secure locations.
Tapes available online 24/7
Even though the tapes are stored in our facility, with our online portal clients maintain full control by being able to track their entire records inventory, update or add new inventory information, action services, and access activity reporting instantly.
Retrieval
On the scheduled rotation day, the retrieval work order is automatically created and processed by our operations team. The tapes are pulled from storage, assigned to a delivery route, and securely delivered within the required timeframe. Ah hoc retrievals can also be made on our online records management system or via authorised email.
