Understanding the Fire Triangle

To start, a fire needs a certain level of oxygen, heat, and fuel. If one of these three components are missing, ignition becomes impossible.

By introducing controlled amounts of naturally inert, nontoxic nitrogen gas into the airtight storage facility, the oxygen content in the air is reduced from normal levels (approximately 21%) to a level below the ignition threshold (17%), thus providing fire prevention.

The Technology – N2 Oxygen Reduction System®

Our oxygen-reduced storage facility is enabled by ISOLCELL’s N2 ORS®. This technology does not use any chemicals or additives, only the air in the plant room where it is located. It is powered by a carbon molecular sieve which splits the air into its primary ingredients; nitrogen, oxygen and tiny portions of other gases. Oxygen levels within the airtight storage facility are continuously measured using sensors which sample the air simultaneously from several intake ports throughout the facility. The oxygen value is then compared with a target value. If the latter is lower than the actual value, controlled quantities of inert nitrogen gas is directed into exactly the area of demand through valves, thus providing uninterrupted fire prevention. As nitrogen is an inert gas it does not affect the documents stored.

The box barcodes will be pre-assigned to your account and by placing these on individual boxes they can be tracked using our records management system. GRM can provide standard archive boxes if required.

The details of each file placed within a barcoded box are recorded on a database and cross-referenced to the box barcode number. GRM offer an onsite and offsite cataloguing service should the requirement arise.

The driver arrives and scans each box barcode using a mobile barcode reader. This is where the audit trail starts. The boxes are loaded onto a GPS-tracked GRM vehicle and securely transported to our storage facility.

During unloading the box barcodes are scanned using the mobile barcode reader to the barcoded loading bay location. The boxes are then moved to uniquely barcoded storage locations in our oxygen reduced storage facility and our records management database is updated to reflect these locations.

Retrievals can be ordered online or via authorised email. Our operations team create a delivery work- order, pull the records from storage, and securely deliver them within the required timeframe.

As an environmentally friendly alternative to physical retrieval, GRM offers a scan-on-demand service for records in storage. This involves the requested records being brought to our scanning department, scanned according to your requirements, and securely delivered.

Document Shredding

Destruction at the end of the records lifecycle

When the retention date of a box is reached a destruction work order is created and sent to the client. Once signed and returned by an authorised signatory the boxes are pulled from storage and securely destroyed.
